Over $90,000 Salary Protocol

Applicability:
Chancellor’s approval is required for initial new appointments and for current employees moving to a new position following a search if the actual salary will be at or above $90,000. No public release of information is to be made until approval has been received. Any offer of appointment in a position subject to Chancellor approval must state that the appointment is contingent on Chancellor approval.
If the appointment is at the level of Dean/equivalent or higher, it also requires Board of Trustees approval.
Responsibilities:
| 1. |
Search Chair prepares the following, coordinates them with the appropriate Vice President, and sends to Employment Services (Attn: Linda Boody): |

a. |
Using the format shown as much as is practical, prepare the Salary Justification (For Proposed Salary of $90,000 or Greater) |
| |
b. |
If the salary exceeds the midpoint of the salary band of the position, also submit a completed Request to Hire Above 1st Quartile Form (for professional positions only) |
| |
c. |
Attach a signed one- or two- page narrative "Summary of the Search". It should summarize the following: advertising/recruiting efforts (and how you attempted to create a diverse pool of applicants), composition of search committee, how applicant screening was handled, how you proceeded to narrow the pool to arrive at the finalist group, and what were the major considerations in your rank ordering of the finalists. |

Employment Services receives the input from the Search Chair, assembles it along with the following added information, and forwards the full package to the President’s Office: |

a. |
Draft cover letter that includes the following elements: statement of support; candidate’s name; position title; effective date and length of term; proposed salary (indicating whether academic or fiscal year, full or part time); stipend amount (if applicable); statement that the appointment has been reviewed and approved by the Executive Director of Campus Diversity & Equity; reference to enclosed materials; and to whom questions concerning the appointment may be directed. |

Comparative salary data of other current employees at same salary band |

d. |
The final Summary of Applications form showing comparative applicant scores at each stage in the screening /selection process |

| 3. |
President’s Office |
| |
a. |
Adjusts cover letter as needed to personalize it, and forward package on to the Chancellor. Notifies Linda Boody and Search Chair when it has been sent. |

b. |
Upon receiving word of approval, notifies Linda in order that she may prepare an appointment letter (or issue a confirmation to the appointee if a contingent appointment had already been made). |
| |
c. |
If position also requires Board approval (for senior management group positions at level of Dean or above), arranges for appropriate adjustment to the cover letter, and arranges to get on Board calendar. |
