Letter from Rosa

April 22, 2003

Dear Colleagues,

Last October, President Pattenaude sent a letter outlining some major changes in administrative computing for the University of Maine System. This brief memo is intended to update you on the status of the project and to introduce you to a web site where you can access up to date information for the duration of the project.

UMS has purchased the PeopleSoft administrative system; all of our administrative computing functions will migrate to this new system over the next four years. This new system will give us the benefit of an integrated, web-based system which will handle the computing information of: Human Resources (Payroll Services, Employee Benefits, HR Information Systems, Employment Services, Student Payroll), Finance (FAST, accounts payable, purchasing), Student Administration (academic records/registration, admissions, financial aid, student billing), and Advancement (donor and alumni relations).

The Human Resources module will be implemented in July 2003; work has already begun on the various pieces of the Finance module for a 2004 implementation. The Student Administration part of the project has begun with the formation of a "Student Service Transformation Project" which will document and review the various student service functions across the System as a starting point for the implementation of the student module. The entire administrative system is expected to be in place by 2006. A USM Core ERP team meets regularly to ensure that we are prepared for each stage of implementation.

Because this system will affect all of us in many ways, we want to ensure that we provide periodic updates to the entire campus community. Employee Education and Development is working on training plans for each phase of the project implementation; you'll be hearing more about training as the schedule unfolds. In order to keep you informed, we have constructed a web site that will provide ongoing updates about the projects status, link you to other relevant web sites about the project, and provide details about all campus based training as they become available. We know that many of you will have questions as this unfolds - we hope to be able to address these questions in the web site for each stage of the project. The web address is: http://www.usm.maine.edu/erp/ . Please bookmark it and visit it periodically!

The success of the PeopleSoft implementation depends on all of us working together to make the migration a success. If you have any questions about the project as it unfolds, or would just like to learn more about it, I encourage you to feel free to contact me ( rosar@usm.maine.edu ) or any other member of the USM Core ERP team. Best wishes for the remainder of the spring semester!

Sincerely,
Rosa S. Redonnett
