I am receiving an exception that students are not taking
the required break.
Federal and State Wage and Hours Laws, Fair Labor Standards and Federal Work-Study
regulations, require that employees be given the opportunity to take at least
30 consecutive minutes of rest time after 6 consecutive hours of work.
PeopleSoft produces an Exception Report listing those employees that do not
punch out after 6 hours of work to go on break. If an employee wants to waive
this requirement, and it is agreeable with the employee's supervisor, a Break
Waiver Form can be found on the web at: http://www.usm.maine.edu/bus/breakwaiver.pdf
Federal Work-Study regulations require that student employees, funded by FWS
funds, be paid for only hours worked. If they take a so called 15 minute break
and/or a break for meals, for example a 30 minute meal break, they must punch
out for the break(s) and punch in upon returning to work.

Correcting time that has been entered on a previous day
but not yet approved by your supervisor.
1. In the Time Entry screen, hit the delete tab to the right of
the row(s) you need to delete. Then click SAVE!
2. Exit Time Entry and dont make any further changes until the following
day. This will allow Time Administration to run in the evening and recalculate

Entry.
If time-entry changes need to be made on Monday prior to
time approval, or if your supervisor has already approved time that needs to
be corrected.
1. Talk to your supervisor and make sure he/she is aware of the situation.
2. Alert the Human Resources Office on your campus and they can help you resolve
the problem.
Changing your direct deposit information.
Changes to your direct deposit allocations may be made through PeopleSoft Employee
Self-Service. As a security feature, such changes will result in a live check
being issued for the next pay cycle, with direct deposit taking effect from
that point forward. When viewing your direct deposit payroll transactions on
the View Paycheck pages of Employee Self-Service, be sure to scroll down to
the bottom of the page for complete information.
For further instructions on how to make changes to your direct deposit information, please log onto http://usm.maine.edu/hrs/hrforms/dirdep.html
Where do I get my employee id number?
When you log on (cms id and password) to the Peoplesoft system (log on) your name and employee id will come up. This id will be used in place
of social security number to distinguish you from someone else with the same
name.
Where do I report my time?
Go to PeopleSoft Access.
Who is my time administrator?
(Please contact USM's Employment Services at: 780-5629)
I'm out sick, how does my time get entered? (classified
staff only)
If it's just for a day, or even a few days, you can enter the time when you
come back. The only problem would be if you are out on the last day of the week
of a payroll run week. In that instance, your Time Administrator would enter
your sick time hours. If you are out for an extended period of time (FML) another
process (under development, stay tuned for updates) will kick in.
I'm going to be on vacation, how does my time get entered?
If you know you are going to be out on vacation, enter your time before you
leave. If for some reason you don't end up taking all that time, you can make
an adjustment at a later date.
Why do we have to report time on a DAILY basis?
The Peoplesoft System (aka - Time Administration) is set up to run rules (based
on what bargaining unit you are in and % of time worked) every night. If you
enter in time that you aren't allowed to take, Time Administration will kick
out an exception. If the Time Administrator doesn't clean up that exception,
that time will not be paid. For example, you enter in 10 hours of sick time
and your balance is only 8 hours, the Time Administrator will contact you to
fix that time. If you don't fix it, the 10 hours will go unpaid until you do.
Once you fix it, Time Administration will need to run again to clear it as payable
time.
Professional staff and Faculty are only entering vacation (where applicable) and sick time as it is used. They are paid for standard hours so failure to report usage will not affect their paycheck. However, it will affect the accuracy of their vacation and sick balances. Entering their usage on a daily basis and having it run through Time Administration will give them a more accurate view of their time available.
What if I don't enter my time every day?
(Remember this is a web-based system and you can access it from home or even Tahiti)
The world won't end, BUT, you are taking the chance of that time not passing the rule test (see entering time daily) and ultimately, not being paid for that time worked until a later date. Set up a process where you enter your time in every day before you go home, then it will just be habit and you won't forget.
What if my supervisor isn't around to approve my time?
Your supervisor must have a backup that can approve your time. This will be a business practice that every department must develop. This will be discussed in training.
