Conference Registration Services

 Many event planners like the service, as it frees them up to concentrate on programming and all the other logistical needs of a large event.

Although we are located in Portland, Maine, through our online services, we are able to handle registrations for conferences anywhere in the world.  We have a full time registrar available on staff to be dedicated to your conference.  We accept registrations via secure online web transactions but also thorough phone, fax, email and mail.  Accepted forms of payment include credit card (VISA, MC or Discover) check and purchase order.  

Also included in our registration service are nametags for participants and on-site staff for up to three hours at your event to check in all registrants.

1. Attendee Registration Management

Develop a registration form designed to track information in a manner compatible with the Department of Conference=s Conference Registration System to include the following attendee information:

  •  Name, title, institution, address
  •  Method and amount of payment
  •  Attendee status (member, non-member)
  •  Track optional events
  •  Dietary restrictions or preferences
  •  Special accommodations (re: ADA requirements)
  •  Manage pre and post conference communications with registrants
  •  Distribute CEU/CLE/CME confirmations
  •  Provide updated data due to walk-ins, no shows and cancellations

2.  Exhibitor or Sponsor Registration Management: Develop a registration form to include the following exhibitor or sponsor information:

  •  Name, title, company, address
  • Method and amount of payment
  • Exhibitor or Sponsor level
  • Track optional events

 3.  Provide Computerized Revenue Management including:

  • Registration & optional event revenue
  • Exhibitor and Sponsor payments (as applicable)
  • Provide a complete conference revenue history

4.  Generate Special Reports (as needed):

  • Institutional
  • Geographical
  • Workshop counts and attendance list
  • Specialty Meal counts
  • Spouse and guest tour lists
  • and many more

5.  Generate Miscellaneous Meeting Materials:

  • Attendee Contact Information in excel format
  • Customized Nametags (not to exceed three lines)
  • One master participant list
  • Generate a balance due list
  • Emailed Confirmation packets (welcome letters, maps, etc.)

6.   Added services: Provide Staff for On-site Conference check-in (added fee, not to exceed 3 hours):

  • Reconcile attendance
  • Collect outstanding payments
  • Distribute conference materials
  • Register and troubleshoot walk –in registrations
  • Provide computer generated nametags for walk-ins
